How the refresh runs

A connected app with read access is authorised against your Xero organisation. You can revoke it from Xero at any time.
On a schedule the reports and transactions are pulled through the API into a small data store, within Xero's limits of 60 calls a minute and 5,000 a day.
Power BI reads the store, so the refresh does not depend on anyone opening a file.
After each month's close the closed months are checked against Xero's trial balance and you get a short recorded note on what moved. From £95 a month.

How does Xero data get into Power BI?

Through the Xero API, which needs a connected app authorised against your organisation with read access. Xero limits an app to 60 calls a minute and 5,000 a day per organisation, which is plenty for a monthly or daily refresh. The data lands in a small store Power BI reads, so the refresh does not depend on anyone's laptop being on.

What Xero data does the dashboard use?

The profit and loss, balance sheet and trial balance reports by month; aged receivables and aged payables; bank transactions and balances; invoices and bills; and the tracking categories you use. Contacts, items and accounts come across as the dimensions you slice by.

Can I edit the Power BI report myself?

Yes. You get the .pbix file and the data model documented, so anyone with Power BI Desktop can add pages. Publishing it for other people to view needs a Power BI licence per viewer from Microsoft.

What if the Xero figures change after the month is closed?

The refresh checks the dashboard totals against Xero's trial balance for the closed months. If someone has posted into a closed month, the note that comes with the refresh says so, and the bookkeeping is corrected rather than the dashboard quietly moving.
