The accounting system already holds the numbers. What most owners lack is a view of them that does not need a spreadsheet rebuilt every month. I build that view, connect it to the books, and refresh it every month from the closed figures. QuickBooks and Xero to Power BI are the usual pairings: Xero to Power BI, QuickBooks to Power BI.

The data model (how the accounts, periods and dimensions fit together) is the same underneath all three, so changing tool later is a rebuild of the pages, not of the data.

What goes on the standard pages

Profit and loss

This month, year to date and the same period last year, with the movement explained by account group and, where you track it, by tracking category or class.

Cash

Bank balances today, cash in and out by week, and what is due in from customers and out to suppliers, HMRC and payroll over the next quarter.

Debtors and creditors

Who owes you and for how long, who you owe, and the overdue list sorted so the Monday morning chase is obvious.

Margin

Gross margin by product line, job, channel or customer, depending on how your books are coded, tracked month by month.

Your measures

Five to eight figures agreed with you at the start, such as debtor days, run-rate, utilisation or stock days, with the definition written down.

Data checks

A page that shows the dashboard agrees to the closed trial balance, so nobody has to ask whether the numbers are right.

How it works

  1. Send your details. Your accounting system, the tool you prefer, and the decisions you want the numbers for. Fixed price in writing within one working day.
  2. Onboarding form and access. Read-only API access to the accounting system and, for Power BI or Tableau, the workspace to publish into.
  3. Build. Data model, standard pages and your measures; checked against the closed trial balance for the last three months.
  4. Walkthrough. A recorded video of every page, what feeds it and how to read it. A call if you want one.
  5. Monthly refresh. After each close the data is refreshed and checked, and you get a short recorded note on what moved.

If the books themselves need work first, the Finance Systems Audit says so, and a catch-up is a fixed price.

How much does a finance dashboard cost?

The automated monthly refresh is from £95 a month. Several companies, extra data sources or a custom web build are quoted on top, in writing, before starting.

Power BI, Tableau or a web dashboard: which should I choose?

Power BI if you already use Microsoft 365 and want to edit it yourself; publishing it for other people to view needs a Power BI licence per viewer. Tableau if your team already has it. A web dashboard, which I build and host, when you want a link that works on any device with no per-user licence. The data model underneath is the same in all three.

Which accounting systems can feed the dashboard?

Xero, QuickBooks Online, Sage Business Cloud and FreeAgent through their APIs, Sage 50 through scheduled exports, and spreadsheets or CSV extracts for anything else, such as a till, a booking system or a payroll report.

How does the monthly refresh work?

Once the books are closed for the month, the data is pulled from the accounting system, checked against the closed trial balance, the dashboard is refreshed, and you get a short recorded note on what moved. From £95 a month, cancel with 30 days' notice. If the books are not closed, the refresh waits for them.

Do I need monthly bookkeeping as well?

The dashboard shows whatever the books contain, so it is only as current as the bookkeeping. Many clients combine it with monthly bookkeeping and management accounts from £295 a month, so the pack and the dashboard show the same closed figures.

Who builds it?

Stuart Wilson does, personally. He has written code since 2018 (JavaScript and Python), built this website and its data pipelines himself, and spent seven years as Group Finance Director for a portfolio of SMEs, so he knows which numbers an owner actually looks at.
